Esskay Dental is thrilled to announce a pivotal job opening in our dedicated team – we are actively seeking a skilled and experienced Dental Office Manager. This is a full-time position located directly at our clinic, reinforcing the fact that this is not a remote job. As our Dental Office Manager, you will play a crucial role in the daily operations of our office, ensuring that patients receive the highest level of care while maintaining an efficient, professional office environment.

The ideal candidate will be responsible for streamlining administrative procedures, inventory control, office staff supervision and task delegation. We're looking for a seasoned professional who is adept at multi-tasking, with a firm grasp on the dynamics of dental health services management and patient care coordination. Duties and Responsibilities

  • Ensure efficient operation of the dental office and manage all administrative duties.
  • Oversee patient scheduling, registration, and processing to maintain optimal flow and service quality.
  • Supervise office staff including receptionists, dental assistants, and other administrative personnel.
  • Manage office budgets and maintain inventory of necessary supplies ensuring cost-effective operations.
  • Implement office policies and procedures, and ensure compliance with state and federal regulations concerning health care management.
  • Handle patient billing and transaction processing, resolving discrepancies in a timely manner.
  • Facilitate positive patient relations and resolve any complaints or issues that arise.
  • Coordinate with dental practitioners and other staff to maintain smooth operation and effective communication.
  • Conduct regular staff meetings and training sessions to ensure everyone is informed on the latest operational practices and policies.
  • Monitor clinic's hygiene and ensure compliance with safety and sanitation regulations.
  • Prepare reports on office productivity, and plan for continued efficiency improvements.
  • Assist in the marketing and promotion of dental services offered by the clinic.
  • Maintain confidentiality in all matters related to patient and clinic records.

Requirements

  • Proven experience as a Dental Office Manager or similar administrative role in a dental healthcare facility.
  • Strong understanding of dental office procedures and terms.
  • Proficient in office management software like MS Office (especially Excel), and patient management software.
  • Excellent organizational skills and the ability to oversee and motivate staff.
  • Exceptional communication and interpersonal skills, capable of maintaining strong relationships with professionals and patients alike.
  • Demonstrable problem-solving and conflict management capabilities.
  • Associates degree in Business Administration, Health Care Administration, or relevant field. Bachelor’s degree preferred.
  • Knowledge of dental health standards and regulatory requirements.
  • Commitment to the highest standard of patient care and ethical conduct.
  • Ability to handle multiple tasks and thrive in a fast-paced environment.
